How Many Email Addresses Do You Have? [MakeUseOf Poll]

class="align-right" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/04/polls.png"/>Last week we asked you to tell us href="http://www.makeuseof.com/tag/iphone-android-location-data-collection-affect-makeuseof-poll/">how the iPhone and Android location data collection affected you. The results say that most of you hate the fact that this information is collected and you’re looking forward to a hack or law to prevent it from occurring.

We collected 217 votes divided like this: 39% hate location data collection and are looking for a hack or law to stop it; 24% don’t like it much, but can see merit in collecting the data; 22% realise that it doesn’t matter whether they like it or not as they’re never going to do anything about it; 10% love the data collection and are glad someone is keeping tabs on them; while 6% hate it and will ditch their phones, vowing to never trust Apple or Google ever again.

Full results and this week’s poll after the jump.

As you can see, the bulk of respondents dislike the phone location data collection and are looking for a way to stop it.

This week’s href="http://www.makeuseof.com/service/polls/">poll question is: How Many Email Addresses Do You Have?

Most of us have been collecting email addresses for a while. But how many does the average geek have? There’s the personal email, your work email, the old email address you got when Hotmail was still cool, the aliases you set up for your domain (including all the ways people misspell your name), etc. Just how many email addresses exist today that would get a message to you?

align="center"> />

So, why so many email addresses? Or why so few? Especially if you’re hovering around the extremes of this poll, please let us know why!

    4 Ways To Set Gmail As Your Default Email In Your Default Browser

    gmail default emailAs users are slowly migrating data to The Cloud, having a webmail account has become a given, with Google Mail being the top choice. Unimpressed by these developments, Windows continues to link email hyperlinks (a.k.a. mailto: links) to the default desktop mail client, such as Windows Live Mail or Outlook. Not even the Google browser Chrome challenges this practice.

    The only way to stop mailto: links from opening in a desktop mail client is the use of third party applications (global), browser settings (Firefox), or browser extensions (Chrome). This article will show you how you can set Gmail as your default email client in Chrome, Firefox, or any other default browser.

    Send From Gmail (Chrome)

    To open mailto links that you click inside Google Chrome in a new Gmail tab, you can use the Send from Gmail extension. Send from Gmail will also add a toolbar button. Clicking the button will open a separate compose window with the current tab / page title as the subject and selected text plus the page link pasted into the message body.

    For some reason the button doesn’t work on the extension’s own page in the Chrome web store.

    gmail default email

    I had to restart Chrome before the extension worked.

    This extension will override the global Windows solutions provided further below. This is handy if Google Chrome is not your default browser, but you still want to open mailto links locally, rather than in a second browser.

    GmailByDefault XP

    If you’re running Windows XP, you can use this tool to make Windows open any mailto links in Gmail. Windows will launch your default browser and then open Gmail in a new tab.

    gmail default email browser

    I had to run the tool twice for it to work, even though it seemed to have installed successfully the first time. Changes were visible under > Internet Options (see below).

    To reverse the changes made by GmailByDefault XP, go to > Control Panel > Internet Options, switch to the > Programs tab and select your preferred > E-Mail program from the respective pull-down list.

    Affixa

    Affixa provides similar functionality as GmailByDefault. However, it is also compatible with Windows Vista and Windows 7, and comes with a bunch of extra features. Instead of launching Gmail in your default browser, if you are clicking on a mailto link elsewhere, Affixa will log into your account and drop a draft to the email address you clicked.

    If your default browser is Firefox, it will first install an extension to handle login cookies. Affixa also supports Yahoo! Mail and Zimbra and you can theoretically add a desktop mail client. The free version only allows you to add one webmail account.

    gmail default email browser

    You have to make Affixa your standard mail program. The changes will only affect the settings under > Internet Options as described above for GmailByDefault XP. To use the attachment baskets, Affixa must launch with Windows. However if it doesn’t, mailto links will still open in your default mail client (i.e. Gmail) and browser.

    To learn more about Affixa’s additional features, read my article How to Send Big Files & Auto-open mailto Links in GMail or Yahoo. Meanwhile, Affixa replaced the cooperation with drop.io with its own file server to offer the Drop feature.

    Firefox Option

    If you’re using Firefox, you won’t have to install anything to make mailto links open in your favorite webmail client. Go to > Tools > Options, switch to the > Applications tab and type > mailto into the search field. You can now select an > Action for mailto links from the drop-down menu.

    Apart from Gmail, you can also set Yahoo! Mail or an application of your choice.

    How To Extract & Download Multiple Email Attachments In Bulk

    class="align-right" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments.png" alt="download multiple attachments gmail" />Awesome free email services like Gmail have made it possible to exchange multiple emails with attachments (almost) without the fear of exceeding the storage space. As a result, we have lots of important files and documents saved online in our inboxes.

    This post will show you how to extract and save some (or all) of those attachments without the need to open each individual email. The following two tools will let you class="vt-p" href="http://www.makeuseof.com/tag/quickly-find-email-attachments-gmail/">manage your email attachments more efficiently, back-up your files stored online and save on your email storage space (if you have managed to exceed it).

    1. Attachment Extractor (Thunderbird Plugin)

    If you are using Thunderbird, you are lucky because there is a handy, flexible and easy-to-use addon called class="vt-p" href="https://addons.mozilla.org/en-US/thunderbird/addon/attachmentextractor/">Attachment Extractor that lets you easily extract and save attachments from the selected messages. The addon has already made one of Make Use Of’s lists: class="vt-p" href="http://www.makeuseof.com/tag/10-must-have-thunderbird-addons-25-more/">10 must-have Thunderbird Addons (+ 25 more).

    • The first step to take after installing the addon is to set the default folder (the tool won’t work without that!). Go to Tools -> Attachments Extractor Settings and select the default folder you want all the attachments to be extracted to.

    Now whenever you want, just select the messages containing the attachments you need to extract, right-click and select one of the following options:

    • Extract from Selected Messages (to a default folder);
    • Extract from Selected Messages (to a custom folder);
    • Extract with a custom filename pattern (to automatically intelligently rename files to avoid replacing existing files)

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-01.png" alt="download multiple attachments gmail" width="535" height="197" />

    The same set of features is available for extracting all the attachments from any folder (just right click on any folder in the right-hand panel).

    The addon offers you quite a few options to save on your Thunderbird and email space. For example, you can set it to:

    • Delete the message after the attachment is extracted;
    • Delete the attachment after downloading it (while keeping the message):

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-02.png" alt="extract multiple attachments" width="428" height="255" />

    The addon can also be configured to extract attachments automatically on email receipt. To configure this option, go to Tools -> Attachment Extractor Settings -> Auto-Extract and there:

    • Set when the attachments need to be extracted (the tool can be set to wait until all messages are downloaded before starting to extract);
    • Specify the default folder to save the attachments;
    • Set up the filter (Extract only messages tagged …);
    • Choose what to do if the file with the same name already exists:

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-06.png" alt="download multiple attachments" width="540" height="383" />

    2. Mail Attachment Downloader (Windows only)

    class="vt-p" href="http://gearmage.com/maildownloader.html">Mail Attachment Downloader is a desktop client that connects to your email account, extracts all the attachments and saves them to the specified folder.

    It works with popular email clients like Gmail, Hotmail/Live, AOL and Y!Mail – and it looks like it can be configured to work with other services as well. The tool keeps your mail untouched: the messages won’t be marked as read.

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-03.png" alt="download multiple attachments" width="488" height="599" />

    The “Basic” and “Advanced” Filters give you some flexibility over which type of attachments you want to download:

    • You can filter email attachments by size (“greater than”)
    • You can filter email attachments by file type (movies, pictures, music, documents)
    • You can choose to check all mail or selectively check new messages only.
    • You can filter emails by the sender of recipient, the keyword in subject or in the body;
    • You can also specify the time frame:

    Basic Filters:

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-05.png" alt="download multiple attachments" width="463" height="183" />

    I am sure there are other great ways to download multiple email attachments (for class="vt-p" href="http://www.makeuseof.com/tags/microsoft-outlook/">Outlook, for example) I am not aware of. Please let me know which ones you have tested and had success with! />

    • Extract from Selected Messages (to a default folder);
    • Extract from Selected Messages (to a custom folder);
    • Extract with a custom filename pattern (to automatically intelligently rename files to avoid replacing existing files)

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-01.png" alt="download multiple attachments gmail" width="535" height="197" />

    The same set of features is available for extracting all the attachments from any folder (just right click on any folder in the right-hand panel).

    The addon offers you quite a few options to save on your Thunderbird and email space. For example, you can set it to:

    • Delete the message after the attachment is extracted;
    • Delete the attachment after downloading it (while keeping the message):

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-02.png" alt="extract multiple attachments" width="428" height="255" />

    The addon can also be configured to extract attachments automatically on email receipt. To configure this option, go to Tools -> Attachment Extractor Settings -> Auto-Extract and there:

    • Set when the attachments need to be extracted (the tool can be set to wait until all messages are downloaded before starting to extract);
    • Specify the default folder to save the attachments;
    • Set up the filter (Extract only messages tagged …);
    • Choose what to do if the file with the same name already exists:

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-06.png" alt="download multiple attachments" width="540" height="383" />

The tool keeps your mail untouched: the messages won’t be marked as read.

    class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/03/multiple-attachments-03.png" alt="download multiple attachments" width="488" height="599" />

    • You can filter emails by the sender of recipient, the keyword in subject or in the body;
    • You can also specify the time frame:

    Basic Filters:

    Zimbra – A Faster & Easier Way To Download Email To Your Desktop

    class="align-left" style="border: 0px none; margin-left: 20px; margin-top: 5px; float: right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbralogo.jpg" alt="zimbra desktop" width="239" height="72" />For a long time, I’ve been searching for a good desktop email client to install on my laptop that is able to integrate all of the various email accounts I have. Gmail accounts are actually pretty easy to connect to, but other email accounts not so much. Matt touched on href="http://www.makeuseof.com/tag/free-email-clients-windows-7/">three good choices, Thunderbird, Opera and Postbox Express. Tina also covered three of the href="http://www.makeuseof.com/tag/3-best-free-alternatives-to-microsoft-outlook/">top clients in the business – Thunderbird, Gmail and Zimbra.

    What exactly is Zimbra, you ask? Let’s just say that Zimbra is one of the few email clients that can comfortably claim that it connects to any email account.

    id="more-64675"> /> The problem I’ve had for years is that I’ve tried desktop clients that are excellent at connecting with any POP mail accounts or Gmail accounts, but not my Yahoo email account. I’ve found web-based clients that can connect to Gmail and Yahoo without a problem, but struggle to properly pull in some of my POP or IMAP accounts. I eventually resorted to using Thunderbird, checking Yahoo mail via a web browser.

    Recently, I gave the Zimbra desktop a test drive and finally discovered an email client that can do it all – Gmail, POP and Yahoo mail all from one central spot. I’m in love.

    The Zimbra Desktop Email Client

    I believe the reason Zimbra is one of the few desktop email clients that can easily integrate with a free Yahoo account is because Yahoo bought Zimbra in 2007.  So now it’s the client of choice if you have a Yahoo account that you’d like to access from your desktop. When you first download and launch href="http://www.zimbra.com/downloads/zd-downloads.html">Zimbra, the first step is adding your email accounts. As you can see, Zimbra has the bases covered with Yahoo, Gmail, IMAP and POP accounts.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra5.jpg" alt="zimbra desktop" width="469" height="292" />

    As you can see below, I’ve got five email accounts configured to pull all new email down into Zimbra – one Yahoo account, three Google accounts, and one POP email account.

    style="text-align: center;"> class="aligncenter size-full wp-image-64676" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra1.jpg" alt="zimbra email" width="566" height="515" />

    You can click on any one account to see all of the emails for that account alone, and you can click on any individual email to view the contents of the email in the right panel. You can also reconfigure the display so the preview panel is at the bottom rather than at the side.

    style="text-align: center;"> class="aligncenter size-full wp-image-64677" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra2.jpg" alt="zimbra email" width="561" height="439" />

    I love the way Zimbra organizes each email account in the left navigational panel, and you can dropdown each account to view all of the folders. Zimbra is able to bring in all of your folders/labels from both your Yahoo accounts and your Gmail accounts. It really is remarkable how easily Zimbra plugs in.

    style="text-align: center;"> class="aligncenter size-full wp-image-64681" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra6.jpg" alt="zimbra email" width="236" height="325" />

    Additionally, even though you’re doing everything from a central client, Zimbra gives you the flexibility to customize certain elements for each account. For example, if you’re responding to someone using one of your work Gmail accounts, you may want one signature appended at the end of the email. If you’re responding to someone with your home Yahoo email account, you may want a different signature. Zimbra lets you customize distinct signatures, personas and filters for each individual account.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra7.jpg" alt="yahoo zimbra" width="465" height="436" />

    Going Beyond Mail With Zimbra

    I only really need Zimbra desktop as an email client, but if you want one desktop app where you can plug into your other online accounts like Facebook or Twitter, Zimbra will do that too. However, it’s only good for checking basic updates and quickly updating your own status.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra3.jpg" alt="yahoo zimbra" width="572" height="167" />

    I find the friend feeds to be not quite as versatile as other desktop social networking clients, but the social tab is there if you want to use it. It does make it fairly quick and easy to view Facebook and Twitter updates at the same time you’re checking your mail.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra4.jpg" alt="yahoo zimbra" width="564" height="516" />

    In addition to social networking features, Yahoo is clearly attempting to compete with Google when it comes to the Briefcase tab. Here, you’ll find  a section that’ll remind you of Google Docs. You can create a document, spreadsheet or even a slideshow presentation all from within the application.

    style="text-align: center;"> class="aligncenter size-full wp-image-64683" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra8.jpg" alt="zimbra mail" width="542" height="404" />

    You can create simple slideshows that include text and images, and you can play the slideshow from inside Zimbra, but you can’t save it as an external file. The closest to getting files out of Zimbra is the ability to print the documents that you create. Otherwise, all documents, spreadsheets or slideshows are contained within the app.

    style="text-align: center;"> class="aligncenter size-full wp-image-64684" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra9.jpg" alt="zimbra mail" width="580" height="381" />

    Another area where Zimbra desktop falls slightly short (at least with the free version) is the Calendar. The calendar and task feature within Zimbra is well done and useful, however if you’re like me and you’re already an active Google Calendar user, it would be really nice to be able to sync up the two calendar systems. As far as I can tell, Yahoo is trying to avoid syncing anything from Google to Zimbra. While I can understand the competition, Zimbra would be much more useful to Google users if that syncing was possible.

    style="text-align: center;"> class="aligncenter size-full wp-image-64685" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra10.jpg" alt="zimbra desktop" width="537" height="402" />

    Another nice feature about the free version of Zimbra is that there is a nice collection of add-ons available at the href="http://gallery.zimbra.com">Zimbra gallery. I discovered and downloaded an add-on called Inbox Zero that completely helped me manage my many inboxes and finally empty them out.

    If you’ve struggled for a long time, bouncing from one desktop email client to another because they couldn’t access all of your email accounts, you’ll want to give Zimbra desktop a try. It’s flexible, functional, and it’ll finally let you view and manage every last email account you have from one, well-organized interface.

As you can see, Zimbra has the bases covered with Yahoo, Gmail, IMAP and POP accounts.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra5.jpg" alt="zimbra desktop" width="469" height="292" />

    As you can see below, I’ve got five email accounts configured to pull all new email down into Zimbra – one Yahoo account, three Google accounts, and one POP email account.

    style="text-align: center;"> class="aligncenter size-full wp-image-64676" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra1.jpg" alt="zimbra email" width="566" height="515" />

    You can click on any one account to see all of the emails for that account alone, and you can click on any individual email to view the contents of the email in the right panel. You can also reconfigure the display so the preview panel is at the bottom rather than at the side.

    style="text-align: center;"> class="aligncenter size-full wp-image-64677" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra2.jpg" alt="zimbra email" width="561" height="439" />

    I love the way Zimbra organizes each email account in the left navigational panel, and you can dropdown each account to view all of the folders. Zimbra is able to bring in all of your folders/labels from both your Yahoo accounts and your Gmail accounts. It really is remarkable how easily Zimbra plugs in.

    style="text-align: center;"> class="aligncenter size-full wp-image-64681" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra6.jpg" alt="zimbra email" width="236" height="325" />

Zimbra lets you customize distinct signatures, personas and filters for each individual account.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra7.jpg" alt="yahoo zimbra" width="465" height="436" />

    Going Beyond Mail With Zimbra

    I only really need Zimbra desktop as an email client, but if you want one desktop app where you can plug into your other online accounts like Facebook or Twitter, Zimbra will do that too. However, it’s only good for checking basic updates and quickly updating your own status.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra3.jpg" alt="yahoo zimbra" width="572" height="167" />

    I find the friend feeds to be not quite as versatile as other desktop social networking clients, but the social tab is there if you want to use it. It does make it fairly quick and easy to view Facebook and Twitter updates at the same time you’re checking your mail.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra4.jpg" alt="yahoo zimbra" width="564" height="516" />

    In addition to social networking features, Yahoo is clearly attempting to compete with Google when it comes to the Briefcase tab. Here, you’ll find  a section that’ll remind you of Google Docs. You can create a document, spreadsheet or even a slideshow presentation all from within the application.

    style="text-align: center;"> class="aligncenter size-full wp-image-64683" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra8.jpg" alt="zimbra mail" width="542" height="404" />

    You can create simple slideshows that include text and images, and you can play the slideshow from inside Zimbra, but you can’t save it as an external file. The closest to getting files out of Zimbra is the ability to print the documents that you create. Otherwise, all documents, spreadsheets or slideshows are contained within the app.

    style="text-align: center;"> class="aligncenter size-full wp-image-64684" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra9.jpg" alt="zimbra mail" width="580" height="381" />

While I can understand the competition, Zimbra would be much more useful to Google users if that syncing was possible.

    style="text-align: center;"> class="aligncenter size-full wp-image-64685" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/zimbra10.jpg" alt="zimbra desktop" width="537" height="402" />

    Give Zimbra a try and let us know what you think. What’s your favorite feature? Do you like other desktop clients better? Share your opinion in the comments section below. />

    Would You Read Your Partner’s Email? [MakeUseOf Poll]

    style="border: 0px none;margin-left:20px;float:right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/05/poll2.png" />Last week, we held a href="http://www.makeuseof.com/tag/books-ebooks-read-makeuseof-poll/">showdown between books and eBooks to see what had the most readership in the past six months. And guess what? MakeUseOf readers favour eBooks by a pretty big margin.

    From the 328 votes collected, the split was: 38% predominantly read eBooks; 20% only read hard-copy books; 21% predominantly read hard-copy books; 20% only read eBooks; while another 2% hadn’t read any books at all.

    Full results and this week’s poll after the jump.

    id="more-63018"> /> Overall, nearly 60% prefer to read eBooks over hard-copy, while 40% prefer to read hard-copy over eBooks.

    style="text-align: center;"> class="aligncenter" style="border: 0pt none;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/Books-versus-ebooks.png" />

    This week’s href="http://www.makeuseof.com/service/polls/">poll question is: Would You Read Your Partner’s Email?

    You may have href="http://www.pcworld.com/article/215030/Husbands_E_mail_Snooping_May_Lead_to_Five_Years_in_Prison.html">read this story in the news recently. In brief, a guy was worried his wife was having an affair and she had left the password to her Gmail account in a booklet beside the computer. So, he used the password to log in to her Gmail account and confirmed she had been having an affair. There’s more to it than that, but we’ll leave it there. The question is, would you do it if you thought you had a good reason?

    align="center"> />

    What are your thoughts on this case? Would you have thought it was a crime to read your partner’s email? If you would normally not read your partner’s email, is there anything which you would consider a good enough reason to read it? Let us know in the comments! />

    How To Quickly Find Your Email Attachments In Gmail

    class="align-left" style="border: 0px none; margin-left: 20px; margin-top: 5px; float: right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/gmail-attachments.png" alt="email attachments" width="210" height="210" />There are plenty of reasons to love class="vt-p" href="http://www.makeuseof.com/tags/gmail/">Gmail: completely free features, plenty of storage space, free POP3 access to your email as well as free offline access to your email messages via the IMAP route, and many other awesome great options.

    As the search geek, there’s one thing I really appreciate: the ability to use very flexible (advanced) search features to go through thousands of email messages stored for years in one place. I am not geeky (and probably organized) enough to synchronize my email efficiently when moving from computer to computer or to make and update my backup, and (I realize that might be my mistake) I have been used to relying on Gmail for years.

    This post looks at one of Gmail life-saving features: the option to store and search through tons of email with attachments for you to be able to:

    id="more-63422">

    • Quickly and efficiently find email attachments (even if you can hardly remember the file name, the sender name, the date when you received the email, etc).
    • Free up some space (yes, storage space is huge but not unlimited. In case you have ever sent or received high resolution photographs, videos or large database files, you may want to delete them to save on space).

    Search For Email With Attachments

    There are several ways to search for attachments in Gmail using class="vt-p" href="http://www.makeuseof.com/tag/search-emails-gmail/">Gmail advanced search operators:

    • has:attachment – This one filters emails to only those that have anything attached.
    • has:attachment doc – This one filters emails to only those that have .doc files attached.
    • filename:.doc – Works almost exactly as the above one (but this one is the class="vt-p" href="https://mail.google.com/support/bin/answer.py?hl=en&answer=7190">documented operator for searching attachment types).
      • Note: filename: already implies that there should be an attachment included, so you don’t need to use has:attachment together with it.
      • Note: a dot is not required before the file extension: filename:.doc = filename:doc
    • filename:google*.doc – This one filters emails to only those that have doc files attached and these files have [google] in the beginning of the name (whereas filename:*google*.doc searches for messages that have documents attached with “google” mentioned somewhere in the middle of the file name).
    • filename:.doc OR filename:.html – This one filters emails to only those that have either .doc or .html files attached (or both).
    • filename:.doc AND filename:.html- This one filters emails to only those that have both .doc or .html files attached.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/gmail-attachments-03.jpg" alt="email attachments" width="353" height="244" />

    See What’s Attached From Search Results

    Now that we know how to locate our email attachments, let’s learn to cope with one inconvenience: you have no idea what is attached until you enter the actual message scroll down and see the attached file names.

    class="vt-p" href="http://userscripts.org/scripts/show/75047">Pimp My Gmail is an awesome Greasemonkey script that lets you quickly see what is attached without the need to click away from Gmail search results. The script is compatible with Firefox, Google Chrome and Opera.

    Note: The script has a lot more features to customize your Gmail but I am only using it for the sake of the attachment feature.

    With the script installed, you will be able to see:

    1. An icon representing the attached file extension right in the email list;
    2. The actual file names attached (on hover over):
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/gmail-attachments-04.jpg" alt="how to find email attachments" width="550" height="288" />

    Locate Your Largest Email Attachments: Find Big Mail

    class="vt-p" href="https://www.findbigmail.com/">Find Big Mail is a free service that lets you sort your email by size. It does require access to your Gmail account (using Gmail OAuth, so as far as I understand, it doesn’t store your Gmail password and you can make sure the class="vt-p" href="https://www.findbigmail.com/news/27/57/How-do-I-uninstall-or-remove-FindBigMail-access-to-my-email-account">access is removed immediately after you use it in your Gmail account).

    After you grant access to your Gmail account, the tool will immediately start scanning your messages. It may take some time. Once it’s done, you’ll receive an email notification which brings you to the stats page:

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/gmail-attachments-01.jpg" alt="how to find email attachments" width="540" height="238" />

    What you can do now is log into your Gmail interface, click through your full label list and find some new labels created by FindBigMail app. The labels will organize your largest emails by size:

    • Top (the largest emails).
    • 2mb’ messages are larger than 2,000,000 bytes.
    • 500kb’ messages are between 500,000 and 2,000,000 bytes.
    • 100kb’ messages are between 100,000 and 500,000 bytes.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/01/gmail-attachments-02.jpg" alt="email attachments" width="494" height="207" />

    Click on each label to view the large messages. Then follow these Gmail  class="vt-p" href="http://mail.google.com/support/bin/answer.py?hl=en&answer=7401">instructions to remove the mail you no longer want. Be sure to empty the Trash using “Delete Forever” if you need to free up the space immediately. Otherwise it will automatically be removed in 30 days time.

    Otherwise, consider using class="vt-p" href="http://www.labnol.org/software/delete-large-email-attachments-in-gmail/9564/">this smart way to locate your largest messages (be sure to use the has:attachment filter if you have too many emails stored in your account to make it work).

    5 Easy Troubleshooting Tips For When You Have Problems Sending Email

    style="border: 0px none;margin-left:20px;float:right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/11/email-title.png" alt="troubleshooting email problems" />As a part of my job, I deal with a lot of email issues – problems sending and receiving email. Over the years, I have noticed that many people experiencing email problems can have them easily fixed and actually fall under just a few categories. Occasionally, email problems will be caused by a problem that only a system administrator can fix but for the majority of problems, they can be fixed by the end user (you) with minimal effort.

    Read on to find some quick tips to help you when sending emails become an issue.

    id="more-59626">

    style="text-align: center;"> class="aligncenter" style="border: 0pt none;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/12/email-error.png" />

    1. Check The Spelling Of The Email Address

    I would say this is the most common error that I come across. One of the first things I do when walking someone through an email problem is confirming that the email address they are trying to send to is the real email address of the person they are attempting to reach.

    The problem is further broken down into 2 types of typos – the first is the “username” part (the part of the email address before the @) and the second is the email domain (the part after the @).

    If the username part does not exist on the remote email system, one of two things will happen – the first is that you will simply hear nothing back. The second is that you will get a message back that says something to the effect of “the user ‘username’ does not exist on this system.”

    If the domain does not exist you will typically get a message back, from your own mail server, which states something like “DNS Error: Domain name not found“.

    Read The Error Message

    Usually when an email is rejected for some reason, there is a detailed error message passed back with the technical details of why it failed. Most of this message is for technical system administrators who can trace back a message if there is a further problem, but I’ve found that usually the error message that is within this email explains what the problem is. If you read through the message, look for the “core” problem.

    Usually it is one of the following:

    2. The Mailbox Is Full

    This happens when the person whom you are sending the email to has no more disk space left on their email server. The most typical message returned is “mailbox is full” or “quota has been exceeded“. There is nothing you can do on your end about this and the best thing to do is to call or contact the person using another method and let them know about their problem so that they can talk to their email provider.

    3. Your IP is on a blocklist

    style="text-align: center;"> class="aligncenter" style="border: 0pt none;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/11/rbl-check.png" alt="troubleshooting email problems"/>

    This is an anti-spam measure and if you aren’t sending spam then either your computer has been compromised in some form, or you are an innocent bystander in the “war on spam.” The error messages are usually technical in nature and can be hard to decode. Here is a sample message I recently received after sending a mail from Gmail:

    554 554 5.7.1 Service unavailable; Client host [74.125.82.47] blocked using dnsbl.sorbs.net; Currently Sending Spam See: http://www.sorbs.net/lookup.shtml?74.125.82.47 (state 14).

    The name for these lists vary but are typically called blacklists, RBL (realtime block/black list), black hole or blocklists. I’m personally not a fan of them because many times they do affect “innocent bystanders” – but using them does help to cut down on spam considerably. In this case, the actual blocked IP address is owned by Gmail and there is nothing you can do about getting off this list if you do not own the email server.

    In this particular case, I just re-sent the email and it uses another IP address going out and was delivered fine.

    What To Do If Your IP is on a Blocklist

    You can check to see if your local computer’s IP address is on a blacklist by visiting a website such as href="http://www.aboutmyip.com/AboutMyXApp/BlackListCheck.jsp">this one on AboutMyIP or via the Check My IP link at href="http://multirbl.valli.org/">valli.org. Email servers do not necessarily use every RBL, but most usually use some. If you are on a consumer internet provider connection, chances are you will be listed in some and it will usually note that. This is because generally speaking, email does not actually go out on email servers hosted on a consumer internet connection – they provider their own servers for sending email.

    You can also check the IP of your outgoing email server if you know it, otherwise your email server system administrator would need to check it at the links above.

    On your end, make sure you have href="http://makeuseof.com/tags/anti-virus">antivirus on any computer on your network because if you have been “hacked” and a bot is running on your computer this is a common reason why you might be on a blocklist.

    4. When There Is No Error Message At All

    If there is no error message, and you have confirmed the email address is correct; it is very possible some anti-spam provisions implemented by the mail server administrator is filtering your email. This can be based on the IP (as above) or based on some content in your email such as an image, phone number, or other text. Unfortunately these can be hard to trace – since there is no error message you need to contact your mail service provider to see what the problem might be.

    5. I’ve Checked Everything – What Next?

    If you have checked everything and you still can’t send email to someone – it is time to take it to the next level. If you are on a consumer internet connection and you are trying to send email from your provided email address, contact customer service to see what the problem might be. They will probably ask for a sample of the email you are trying to send along with any error messages or codes that you’ve received. Make sure to give them whatever they need to help solve your email mystery as they are your best bet at getting your email working again.

    Convert Your Free Yahoo Email To An RSS Feed With YmailFeed

    class="align-left" style="border: 0px none; margin-left: 20px; margin-top: 5px; float: right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/blueglobe.jpg" alt="email to rss" />One of the issues I’ve always had with my free Yahoo email account is the fact that it’s so difficult to deal with it anywhere outside of the online Yahoo Mail system itself. There aren’t very many online email systems that will let you extract email from your Yahoo account as easily as you can get it from your Gmail account. This is because, unlike with Google Mail, a free Yahoo Mail account does not include free POP access.

    Recently, I wrote a review of class="vt-p" href="http://www.makeuseof.com/tag/rss-bandit-feed-online/">RSS Bandit, a very cool feed reader with the ability to pull in email feeds from Gmail accounts. It doesn’t use POP access, instead it utilizes the authenticated Atom feed that Google provides to all Gmail users. This is awesome, but once again it made me regret ever signing up for a free Yahoo account, because it’s once again left out in the cold. No matter what, I always have to go back to the online Yahoo email system to check those emails. In a Web 2.0 world, Yahoo Mail feels so disconnected from everything.

    id="more-52473"> /> After writing the RSS Bandit article, I realized that if there’s some way I could convert my free Yahoo email account into an RSS feed, I’d have an instant connection to that free email account without the need for a POP connection. It actually didn’t take very long to discover class="vt-p" href="http://ymailfeed.appspot.com/">YmailFeed, an awesome free service hosted on Google AppSpot (ironically) that lets you convert your free Yahoo email account into an RSS feed.

    Setting Up Your Yahoo Email RSS Feed

    The first thing you’ll need to do to set up your Yahoo Mail as an RSS feed is to visit YmailFeed, sign up for your free account, and then click on “Start the Process“.

    style="text-align: center;"> class="aligncenter size-full wp-image-52474" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/yfeed1.jpg" alt="email to rss" width="569" height="426" />

    You’re then taken to your Yahoo account sign-in page. This is a legitimate Yahoo sign-in, it’s not a scam! YmailFeed is not collecting your login information, you simply need to log into your account so that the YmailFeed system can retrieve a unique key associated with your authentication.

    style="text-align: center;"> class="aligncenter size-full wp-image-52475" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/yfeed2.jpg" alt="email to rss" width="224" height="435" />

    This is similar to when you give external applications permission to access your Facebook account. Likewise, by logging into your Yahoo account, you are “approving” that YmailFeed can access your incoming email. To hammer this home, Yahoo requires that you sign off on this request, since you’re basically opening up your email account to a third-party app that is going to convert your incoming mail into a feed format.

    style="text-align: center;"> class="aligncenter size-full wp-image-52476" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/yfeed3.jpg" alt="forward email to rss" width="569" height="151" />

    Once you agree, your account is active and all new, unread email is converted into a feed. You can see a preview of that feed in the left window in your YmailFeed account. You have three important links at the bottom of the next screen, which is basically the feed for your free Yahoo email account. If that URL is ever compromised and falls into the wrong hands, just click on “Regenerate the Codes” and a new set of feed URLs is provided – the old ones will be disabled.

    style="text-align: center;"> class="aligncenter size-full wp-image-52477" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/yfeed4.jpg" alt="forward email to rss" width="548" height="419" />

    Three types of feeds links are provided, AutoDiscovery, a standard RSS Feed and an ATOM feed. Now that I’m using RSS Bandit, which can handle AutoDiscovery, I just initiate a new feed and add the feed under my existing email group. The feed shows up under “Feed Details” just like any other regular RSS feed.

    style="text-align: center;"> class="aligncenter size-full wp-image-52482" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/yfeed51.jpg" alt="forward email to rss" width="519" height="289" />

    The way RSS Bandit handles it when you click on the email itself is that it opens up a direct link to Yahoo Mail within the lower content panel. Another cool way to make use of your Yahoo feed is by clicking that little “Netvibes” link on the YmailFeed page with your feed URLs. In just two clicks, you can add an awesome Yahoo mail widget to your class="vt-p" href="http://www.makeuseof.com/tag/manage-life-completely-online-netvibes/">Netvibes account.

    Getting Yahoo Mail loaded into my private Netvibes dashboard is something that I haven’t been able to get working for a long time, but now with YmailFeed, it works like a charm.

    style="text-align: center;"> class="aligncenter size-full wp-image-52479" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/yfeed6.jpg" alt="convert email to rss" width="401" height="373" />

    If you just want to get your most recent Yahoo mail in Google Reader, simply add the RSS Feed from your YmailFeed account and you’ve instantly connected Google Reader to your Yahoo inbox. Now, how cool is that?

    style="text-align: center;"> class="aligncenter" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/yfeed7.jpg" alt="convert email to rss" width="496" height="439" />

    In fact, having your free Yahoo inbox as an RSS feed like this opens up a whole world of possibilities. You could install the class="vt-p" href="http://www.makeuseof.com/tag/create-intelligent-online-news-filter-greatnews/">GreatNews RSS Filter and use it to analyze all incoming Gmail and Yahoo email and send you alerts. Rather than setting up filters in all of your email accounts, you can process all incoming email in one place.

    Spicebird – An Email Client That Integrates A Calendar, Chat & iGoogle

    class="align-left" style="border: 0px none; margin-left: 20px; margin-top: 5px; float: right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/spicebirdlogo.jpg" alt="spicebird" />We have reviewed a number of class="vt-p" href="http://www.makeuseof.com/tag/free-email-clients-windows-7/">free email clients before. There is the ever so popular class="vt-p" href="http://www.makeuseof.com/tags/thunderbird/">Thunderbird, there is Evolution for Linux and then there is Outlook for Windows. An area where Outlook scores fair and square over the other email clients out there is the fact that it integrates common email-related tasks and thus takes care of many chores. You have tasks, calendar, email and social networking (via plugins) all built in into one interface and they all gel together.

    Evolution does that for Linux, but Thunderbird falls short of the much needed integration. This is where class="vt-p" href="http://www.spicebird.com/">SpiceBird comes in. SpiceBird is built on top of Mozilla’s offerings so you will feel at home if you have been using Thunderbird. SpiceBird also brings much more to the table when compared to Thunderbird, as you shall see.

    id="more-51838"> /> You can download and install SpiceBird class="vt-p" href="http://www.spicebird.com/download">here for both Windows and Linux. The installer is around 12MB in size and installs in a snap. Once installed, fire it up and you will see a tabbed interface. The various tabs give you access to all the features SpiceBird has to offer. This is in contrast to Thunderbird where the tabs don’t quite feel they have been utilized to the fullest out of the box.

    Let’s briefly look at the various tabs (and thus the features) of SpiceBird.

    The Home Tab

    The home tab is a lot like your class="vt-p" href="http://www.makeuseof.com/tags/igoogle">iGoogle page. You can add and manage tiny widgets to it. These widgets can be used to display a preview of your inbox(es) or time in different zones or you can use them to keep up with your favorite RSS feeds.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/hometabsbird.png" alt="spicebird" width="560" height="383" />

    You can display upcoming tasks or add one of the many class="vt-p" href="http://www.makeuseof.com/tag/make-your-own-personalised-igoogle-gadgets">iGoogle gadgets available out there. The possibilities are almost limitless and you can add just about any gadget you have on your iGoogle page to the home tab.

    Click on Add Applets in the tool bar and then choose Google Gadget. Now, copy the address of the iGoogle Gadget from the gadget’s description and paste it on the page. This should load the gadget in your SpiceBird home tab.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/googlegadgetsbirf.png" alt="spicebird" width="330" height="188" />

    You can drag and drop widgets onto the page and arrange them to your liking. What’s also nice is the fact that SpiceBird picks up your default system theme and tries to mimic it.

    The Inbox Tab

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/mailaccountsbirf.png" alt="email clients" width="340" height="222" />

    The dialog seems familiar? Yes, it is the same you get when you configure a new account with Thunderbird. The Inbox tab will seem familiar to most Thunderbird users. It looks and functions the same as well.

    You can configure your mail accounts, which will appear on the left side. You can open an e-mail in a new tab or new window if you prefer. In addition you will find that you can use most of Thunderbird’s functionality out of the box with SpiceBird.

    Contacts, Calendar & Tasks Tab

    We can safely group these together under one header as they all work as you would expect any contacts or calendar application to work. You can add your chat accounts in the Contacts tab and use them to manage and store your contacts.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/calendarsbird.png" alt="email clients" width="560" height="331" />

    The Calendar provides standard functionality without the Google Calendar sync which is a big blow. You can still import and export iCal files if that suffices for you.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/taskssbird.png" alt="email clients" width="502" height="207" />

    You can also create class="vt-p" href="http://www.makeuseof.com/dir/tag/tasks/">tasks inside the tasks tab, set task priorities, categorize them as you see fit and even mark the progress on your tasks.

    All in all SpiceBird works well and does a good job of providing a single interface for tasks that you need to perform daily. The tabbed interface to track your tasks, calendar and emails all in one application is a big plus. The ability to add Google Gadgets to the start page is awesome.

    That being said, it’s not all praises for SpiceBird.

    The application would gain immense popularity if they can offer sync with popular services like class="vt-p" href="http://www.makeuseof.com/tag/best-of-google-calendar-addons-tips/">Google Calendar and Remember the Milk. In fact I wouldn’t be surprised if this is indeed preventing users from adopting SpiceBird as their default application. Also there is a lot of scope for improvement with regards to integration between all the features that SpiceBird provides. I could view my tasks, events and mail on the homepage, but I had to toil around to add an event to the mail.

    How do you like your e-mail clients? All in one solutions or plain simple email goodness? We would love to hear your thoughts. />

    Going For A Malware Scan In Your Infected Computer ? Internet Explorer 7 Latest Version Malware Email

    Your computer can still be in danger even if you have already got security suite program running, and that annoying malware program may actually be harming your PC.  This is one of the reasons that consumers should use another malware scanner as a sort of backup to their primary antivirus system.

    You have a couple different options for running a security scan in a completely safe Windows operating environment. The first option is to run Windows in Safe Mode and make use of a Portable Scanner.  In this method, Windows loads and executes only the programs that it needs to run. This means that if you do in fact have an infectious Malware program on your machine, chances are pretty good that it will not be running.

    Using a Portable Scanner can help identify and eliminate any issues that your main antivirus program may have missed and is quite easy to use.  Simply download the program onto a flash drive or disc.  Boot your machine up in Safe Mode, and execute the program to Scan your computer.  You may have to safe the program off to your desktop if your PC does not have USB capabilities.

    Another option that you have is to boot from a CD which is a bit more complicated than simply downloading the program and then running it.  One requirement for this step is that you will have to download a good malware removal program. You will be required to burn the contents from within the ISO file to a CD.

    When you have the disc made, you can load it and run it under safe mode to perform the scan of your system.  This program runs a text based version of Linux, which in turn uses the internet to update its own database and scan you computer.  The requirement here of course being the ability to reach the internet, which may not necessarily be the case if Linux does not have the proper access to drivers used by your networking hardware.  If a connection to the internet is not achievable, then you can use a flash drive containing the latest version of the software.

    There is one danger to using this option and that is the fact that windows system files may be altered during the process which leaves the chance of not being able to boot Windows.  If you feel that you’re main antivirus program is not completely doing the job, then you may want to look into secondary antivirus solution to help identify and eliminate malicious software on your PC.

    One very frequently observed Malware is the – Internet Explorer 7 Latest Version Malware Email. Many malicious emails faked as official Microsoft messages are currently being emailed. The messages asks the mail receiver to click a link supposedly to download the latest version of Internet Explorer 7. However, the messages are not from Microsoft and clicking the link will not download Internet Explorer 7. Instead, those who click the link may unknowingly download and install a Trojan that can modify the Windows registry and other windows files. The Trojan can also connect to other malicious websites and download and install more Malware components. Those responsible for the Malware emails have attempted to make the messages seem more legitimate by including seemingly official newsletter subscription details and secondary links that lead to genuine Microsoft websites. The hackers have also used a spoofed email address to make it appear that the emails originate from Microsoft.
