Share Files & Folders With Computers & Mobile Devices Using Pogoplug [Windows & Mac]

class="align-right" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/06/pogoplugthumb.jpg?54167" alt="" /> class="vt-p" href="http://www.makeuseof.com/tag/3-reasons-why-students-should-be-using-dropbox-as-a-study-tool/">Cloud services have become a popular way to share files with others, and they work well in most situations, making it easy to upload photos or documents and then access them on a variety of devices.

This is not the only way to send files between devices, however. Streaming software such as class="vt-p" href="http://www.pogoplug.com/products-pogoplug-free-software.html">Pogoplug has advantages, such as a lack of storage caps and a simpler user experience, since you don’t have to hassle with local and cloud copies.

Streaming vs. Cloud: What’s The Difference?

class="aligncenter" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/06/pogoplug3.jpg?54167" alt="" width="521" height="295" />

Before I go into detail about Pogoplug, let’s talk about how it’s different from popular and well-established services like class="vt-p" href="http://www.makeuseof.com/tags/dropbox">Dropbox.

Pogoplug does not offer a cloud. At no point do you upload files to a server so they can be downloaded again later. Instead, you create an account when you install the software and then share folders on your PC. Those folders then can be accessed on other devices and computers, and you can share information on those as well, creating a network of computers that share files across the Internet.

As there’s no cloud to upload data to, there’s no monthly storage charge once you go over a certain limit. The storage is all on devices you personally own. You also no longer need to worry about the service possibly being hacked or inaccessible.

Streaming Made Easy

class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/06/pogoplug2.jpg?54167" alt="" width="570" height="333" />

Once installed, the Pogoplug software is easy to use. The included remote access controls are used to determine what is being shared on your computer. On my class="vt-p" href="http://www.makeuseof.com/tag/two-tools-to-monitor-your-macbooks-battery-mac/">MacBook, for example, my Desktop, Documents, Music, Movies, and Pictures folders were selected by default.

Any folder can be de-selected by removing a check from the appropriate box, and new folders can be added as well. All remote access can be cut off using a big remote access switch on the interface.

Once shared, the files can be accessed using Pogoplug software on any other computer as long as you log into your account. Remember however, that this software depends on access to the various devices sharing information. Unlike a cloud service, this software won’t let you access data from a shared folder if the computer hosting it is turned off.

Pogoplug Mobile Access

One of the greatest advantages of a cloud service is the ability to access information while on the go. Pogoplug replicates this both via a web interface and on your mobile device.

class="aligncenter" style="border: 1px solid black;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/06/pogoplug1.jpg?54167" alt="" width="462" height="243" />

The web interface is impressive, as it provides access to a wide variety of content and is quite snappy. All of your folders that are shared via your Pogoplug software will be accessible, and the class="vt-p" href="http://www.makeuseof.com/dir/dropmocks-create-picture-gallery-instantly/">Gallery tab lets you view photos as a class="vt-p" href="http://www.makeuseof.com/tag/5-ways-to-create-beautiful-slideshows-of-your-digital-pictures/">slideshow. Those who pay for the class="vt-p" href="http://www.pogoplug.com/products.html">premium account (a $29 one-time fee) will also be able to stream music and video content via this in-browser interface.

Android and iOS users will have access to the same features via the Pogoplug app available for free on each operating system’s respective marketplace. This app provides mobile access to all of your content with the exception of audio and video, which again is restricted to those who have a premium account.

Backup and Printing

Although the ability to stream and share content between devices is the focus of Pogoplug, it does have two other notable features.

One is Active Copy, a simple but useful backup feature. It effectively links two folders together so that their content mirrors one another, making it easy to keep an up-to-date backup of important information on a multiple computers.

Another great extra is online printing, which can be used to send documents to a remote printer connected to a computer running Pogoplug. It’s even possible for friends to share a printer with you, which means you can use their printer while logged into your own account. It’s even possible to print from the Android and iPhone apps.

Conclusion

Pogoplug isn’t a perfect service, but it has definite advantages compared to cloud services. My situation is a great example. I have multiple computers that I need to keep synced, but Dropbox won’t work (for free) because the amount of data I need to sync is in excess of 10GB.

With this alternative, I’m not able to sync when one of my PCs is turned off, but that’s a trade-off I’m willing to make in exchange for the ability to freely transfer a very large volume of data. The Active Copy feature is an excellent way to keep my data backed up, as well.

class="vt-p" href="http://www.pogoplug.com/products-pogoplug-free-software.html">Give it a try and let us know what you think of it in the comments.  Any missing features you would like to see included?

    How To Easily Synchronize Folders Outside Dropbox Using Symlinks

    class="align-left" style="border: 0px none;margin-left:20px;margin-top:5px;float:right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/00-Dropbox-Logo.jpg" width="200" height="180" alt="symlinks dropbox"/>There’s a long running discussion on href="http://www.makeuseof.com/tag/quora-share-knowledge-find-answers-toughest-questions/">Quora that grabbed my attention. The topic is about the rel="nofollow" href="http://www.quora.com/Dropbox/Why-is-Dropbox-more-popular-than-other-programs-with-similar-functionality">reason why Dropbox is more popular than other free programs with similar functionality. The various answers boiled down to this: simplicity. You put your files in the href="http://www.makeuseof.com/tags/dropbox/">Dropbox folder, and that’s it. The system will take care of the rest, including synchronizing everything to the cloud and to Dropbox folders on other computers linked to that account.

    But this simplicity also means that you have to drag whatever you want to sync to the Dropbox folder. While this kind of arrangement is fine for most users, some users don’t want to re-shuffle their files and folders just for the sake of synchronizing. Luckily, there’s another possibility to synchronize folders outside Dropbox without messing up the structure of your folders: using symlinks.

    id="more-66682">

    The Symlink

    For those of you who are unfamiliar with the term “Symbolic Link” or simply “symlink”, here’s the href="http://en.wikipedia.org/wiki/Symlink">Wikipedia quote:

    … In computing, a symbolic link (also symlink or soft link) is a special type of file that contains a reference to another file or directory in the form of an absolute or relative path and that affects pathname resolution ….

    … Symbolic links operate transparently for most operations: programs which read or write to files named by a symbolic link will behave as if operating directly on the target file. However, programs that need to handle symbolic links specially (e.g., backup utilities) may identify and manipulate them directly …

    Using symlinks to synchronize folders outside Dropbox is very easy. Create a symlink of the folder and put the symlink inside the Dropbox folder. Any change which happens to the symlink will be reflected on the original folder and vice versa. Symlink allows you to synchronize any folder that you want to Dropbox while having to move anything,

    The question is, how do you create a symlink?

    The Windows Method

    The easiest way to create a symlink under Windows is to use an application called href="http://wiki.dropbox.com/DropboxAddons/DropboxFolderSync">Dropbox Folder Sync. There’s one caveat though, the app will only work if the disk is formatted with NTFS as other Windows’ disk formats don’t support symlinks.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/01a_DFS_Install.jpg" border="0" alt="symlinks dropbox" width="531" height="384" />

    • After the installation process is done, the app will ask you to set the location of your Dropbox folder.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/02a_Set_Dropbox_Folder.jpg" border="0" alt="symlinks dropbox folder" width="242" height="145" />

    • You can do that by clicking the “Change Setting” option on the main interface.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/02b_Change_Settings.jpg" border="0" alt="symlinks dropbox folder" width="336" height="263" />

    • Then browse to the location of the Dropbox folder.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/02c_The_Chosen_Folder.jpg" border="0" alt="symlinks dropbox folder" width="324" height="331" />

    • Then including any folder to the Dropbox folder will only be a matter of right-clicking the folder and choosing “Sync with Dropbox“. Then the “UnSync with Dropbox” command can be used to exclude it.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/03a_Sync_With_Dropbox.jpg" border="0" alt="symlinks dropbox windows" width="500" height="100" />

    The Mac Method

    There are several options that you can use to create symlinks on the Mac, including doing it manually with the help of Terminal and command lines. But the easiest method is by utilizing a simple app called href="http://wiki.dropbox.com/DropboxAddons/MacDropAny">MacDropAny.

    • Every time you run the application, it will ask you to choose which folder you want to sync via Dropbox. Browse to the location of the folder and/or create a new one.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/04a-Create-New-Folder.jpg" border="0" alt="symlinks dropbox windows" width="535" height="400" />

    • Now choose where in the Dropbox folder you want to put the symlink. If you are an organization freak, you could create a new folder called ‘External Folders‘ or something similar, and put all the symlinks there.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/04b-Where-in-Dropbox.jpg" border="0" alt="symlinks dropbox windows" width="535" height="400" />

    • The last step is to give a name to the link. To avoid confusion, it’s better for you to name it something similar to the original folder.
    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/02/04c-Name-The-Link.jpg" border="0" alt="symlinks dropbox" width="360" height="149" />

    Best Of Both Worlds

    There are other apps that will let you sync any folder on your computer to the cloud. But those apps require some complicated settings. By using symlinks to help you sync folders outside Dropbox, you get the best of both worlds: the simplicity of Dropbox, and the power of more advanced apps.

    Watch Folders & Convert Video Files With DropFolders & HandBrake

    class="align-left" style="border: 0px none; margin-left: 20px; margin-top: 5px; float: right;" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/0-dropfolders-intro.png" alt="convert video files" width="242" height="242" />Having the ability to convert video files can be pretty useful, especially if you download a lot of video content or create some yourself. There are a lot of potential uses, including converting DVD files into a playable format or making files readable on your iPod, to name a few. Being able to automate this process is even better.

    DropFolders can handle all of this for you. href="http://ctl.du.edu/staff/josephlabrecque/DropFolders/">DropFolders is an Adobe AIR program to be run on Windows that integrates with HandBrake. It automates the video conversion process by watching specified folders and performing the actions you assign.

    id="more-50999"> /> In this article, I am going to go over what HandBrake is capable of, as well as how its integration with DropFolders will allow you free reign over your video collection.

    HandBrake

    href="http://handbrake.fr/">HandBrake, by itself, is one of the best free media converters and href="http://www.makeuseof.com/tag/5-simple-steps-rip-entire-dvd-hard-drive/">DVD ripping tools out there. It is an open-source, multi-platform video transcoder that is available for Mac OS X, Linux, and Windows.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/1-dropfolders-handbrake.png" alt="convert video files" width="580" height="472" />

    HandBrake supports all the different variations of DVD source files, including VIDEO_TS, DVD image, real DVD, and some .VOB and .TS files. It also has miscellaneous features such as chapter selection, href="http://www.makeuseof.com/tag/how-to-use-handbrake-to-attach-subtitles-to-a-movie-file/">adding subtitles, an integrated bitrate calculator, picture cropping and scaling, and live video preview.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/2-dropfolders-presets.png" alt="convert video freeware" width="266" height="290" />

    Supported file outputs:

    • File format: MP4 and MKV
    • Video: MPEG-4, H.264, or Theora
    • Audio: AAC, MP3, or Vorbis

    [Note]: You do not need to install HandBrake separately in order to use DropFolders. However, I recommend that you do anyway because HandBrake itself is a great video conversion tool and you may not always need the features DropFolders provides.

    DropFolders

    href="http://ctl.du.edu/staff/josephlabrecque/DropFolders/">DropFolders allows you to automate some of HandBrake’s features. Simply put, you can use DropFolders to watch a folder, convert the files within, and output the new files to a different folder.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/3-dropfolders-main.png" alt="convert video freeware" width="506" height="508" />

    For those of you who are familiar with HandBrake, you will know that you can tweak various settings with the href="https://trac.handbrake.fr/wiki/CLIGuide">CLIGuide. DropFolders allows for this too. To better specify how you would like your video files to be converted, you have to input various HandBrake arguments.

    For example, in order to make a video file compatible on the iPhone or iTouch, you just need to copy and paste the href="https://trac.handbrake.fr/wiki/BuiltInPresets#iphone">iPhone presets into the HandBrake arguments box on DropFolders.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/4-dropfolders-arguments.png" alt="convert video files" width="506" height="284" />

    Once a compatible file is placed into your defined watch folder, DropFolders will automatically start the conversion process and your presets will be saved for later selection. In this example, the newly created file would be placed in your chosen destination folder, ready to be copied over to your iPhone/iTouch.

    As stated above, you can find all of the necessary presets for HandBrake on their href="https://trac.handbrake.fr/wiki/CLIGuide">CLIGuide page. DropFolders handles all of the file input and output commands, so the only presets you’ll need are the encoding parameters, which you can copy and paste over.

    If you would like to see DropFolders in action, check out this video walkthrough by Joseph Labrecque, creator of the program:

    classid="clsid:d27cdb6e-ae6d-11cf-96b8-444553540000" width="580" height="326" codebase="http://download.macromedia.com/pub/shockwave/cabs/flash/swflash.cab#version=6,0,40,0"> name="allowfullscreen" value="true" /> name="allowscriptaccess" value="always" /> name="src" value="http://vimeo.com/moogaloop.swf?clip_id=12337742&server=vimeo.com&show_title=1&show_byline=1&show_portrait=1&color=00ADEF&fullscreen=1&autoplay=0&loop=0" /> type="application/x-shockwave-flash" width="580" height="326" src="http://vimeo.com/moogaloop.swf?clip_id=12337742&server=vimeo.com&show_title=1&show_byline=1&show_portrait=1&color=00ADEF&fullscreen=1&autoplay=0&loop=0" allowscriptaccess="always" allowfullscreen="true">

    Conclusion

    If you play around with the various settings I’m sure there are plenty of creative ways to use this application. With DropFolders monitoring your specified media folders and convert video files automatically, you can efficiently create the content you’re looking for without having to open and convert files individually using commercial software.

It also has miscellaneous features such as chapter selection, href="http://www.makeuseof.com/tag/how-to-use-handbrake-to-attach-subtitles-to-a-movie-file/">adding subtitles, an integrated bitrate calculator, picture cropping and scaling, and live video preview.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/2-dropfolders-presets.png" alt="convert video freeware" width="266" height="290" />

Simply put, you can use DropFolders to watch a folder, convert the files within, and output the new files to a different folder.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/3-dropfolders-main.png" alt="convert video freeware" width="506" height="508" />

    For example, in order to make a video file compatible on the iPhone or iTouch, you just need to copy and paste the href="https://trac.handbrake.fr/wiki/BuiltInPresets#iphone">iPhone presets into the HandBrake arguments box on DropFolders.

    style="text-align: center;"> class="aligncenter" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2010/08/4-dropfolders-arguments.png" alt="convert video files" width="506" height="284" />

    If you would like to see DropFolders in action, check out this video walkthrough by Joseph Labrecque, creator of the program:

    classid="clsid:d27cdb6e-ae6d-11cf-96b8-444553540000" width="580" height="326" codebase="http://download.macromedia.com/pub/shockwave/cabs/flash/swflash.cab#version=6,0,40,0"> name="allowfullscreen" value="true" /> name="allowscriptaccess" value="always" /> name="src" value="http://vimeo.com/moogaloop.swf?clip_id=12337742&server=vimeo.com&show_title=1&show_byline=1&show_portrait=1&color=00ADEF&fullscreen=1&autoplay=0&loop=0" /> type="application/x-shockwave-flash" width="580" height="326" src="http://vimeo.com/moogaloop.swf?clip_id=12337742&server=vimeo.com&show_title=1&show_byline=1&show_portrait=1&color=00ADEF&fullscreen=1&autoplay=0&loop=0" allowscriptaccess="always" allowfullscreen="true">

    Conclusion

    If you play around with the various settings I’m sure there are plenty of creative ways to use this application. With DropFolders monitoring your specified media folders and convert video files automatically, you can efficiently create the content you’re looking for without having to open and convert files individually using commercial software.

    How To Make Encrypted Folders Others Can’t View with Truecrypt 7

    freeware to encrypt foldersYou’ve probably heard the story about the paranoid king. The king was sitting, looking at his meal, after having had a slave or two test it to ensure it didn’t contain any poison. The king takes another look, shakes his head, and mutters to himself – “I know I’m paranoid… but am I paranoid enough?”

    Truecrypt is a practical implementation of paranoia for your PC, and Version 7 has an even bigger stash of goodies to ease your worries, along with better performance. We’ll use that app today to illustrate how to create an encrypted folder that others can’t explore.

    Before we begin though, a couple of references. Mark has talked about Truecrypt a couple of versions back, and he also wrote a great article specifically about using Truecrypt on a USB stick. Saikat gave a broader outline on how to hide folders.

    What Is It?

    So is Truecrypt all about hiding folders? More or less. It’s definitely about making sure that your secrets stay secret, and hiding folders – or entire drives – is the most common way to deal with that.

    Truecrypt is also cross-platform, as well as being open source freeware to encrypt folders. It’s secure. It’s also easy. Why wouldn’t you use it?

    Why Do I Need It?

    how to make an encrypted folderUnfortunately we live in a world where people don’t behave the way you might wish they did. Over the last few years, we are also living in a progressively more connected world, which means you are more exposed to those people your mother wouldn’t want you to marry. To add to the mess, we are also, especially right now, beginning to live in a thoroughly wireless, portable, mobile world, where not only can these undesirables get close to your stuff, but you help them out by taking your stuff to them!

    Even if you never do anything you would like to keep private, if you have an online life of any sort, your identity and your information are valuable items, and you need to look after them. If you are doing anything that some people might not approve of, all the more reason.

    How Do I Get It?

    Visit the Truecrypt downloads page, and grab version 7. Download it to your PC just the way you might expect. Installation is a breeze.

    What Can I Do With It?

    The idea is to take a container of some sort, and encrypt the contents of that container. Imagine if we went into your living room, took a good look at the bookshelf, and then somehow removed the contents of all the books, shuffled all the words up in some nearly random way, and then put them all back again. You would have exactly the same information that was there earlier, but no way to make use of it.

    If, on the other hand, we gave you a key to the shuffling, then with time and patience, you could put everything back the way it started, and get on with reading War and Peace.

    This works just the same way. The container, conveniently enough, can be a drive, a folder, a USB stick… For our example we will just use a folder on your drive. We will shuffle the contents, and then give you a (software) key to let your computer sort things out for you on the fly. Version 7 adds a couple of wrinkles like using hardware acceleration for decryption in some cases, and automatic decryption of USB keys on insertion if you want it to.

    How To Create One

    Fire up Truecrypt, and you will be presented with the main window.

    how to create an encrypted folder

    Click the Create Volume button to build that container we were talking about.

    There are a number of different types of containers, but for our first attempt we can just use the default file container.

    encrypt folders

    Click Next.

    Along with the various container types, there are advanced options for creating one container inside another. Think of a bookshelf inside a library. But for now, again take the default.

    encrypt folders

    Click Next again.

    Because we are using the standard file container, we need to tell it the name of the file to use. Just in case you’re thinking in terms of folders, this can be a little confusing. We are going to create a file, and then eventually it will look like another hard drive on your system, but only when it’s mounted.

    volume location

    So, browse to a folder, and supply a file name. No need for a suffix. When you’re ready, hit the Next button again.

    Remember I said there were lots of options? You can choose from a number of encryption types and hash algorithms. Ordinary people like me take the advice of the developers, and go with the defaults.

    free encrypt or hide folders or files

    Yeah. Click Next.

    You can create a container of any size up to the available space on your real hard drive. It’s worth considering some limits if you ever want to backup the result to portable media, so perhaps you might want to stick with 4GB or so if you want the file to be backed up to DVD. You get the idea.

    In our case, we’re just creating a small container for some tax files. Setting aside 100MB seems about right, but I have created 60GB containers in the past without any trouble.

    free encrypt or hide folders or files

    Click Next, yet again.

    Passwords are very important in Truecrypt. Tina talked earlier in the year about how to select a good one. I can’t expand on that. Make a good choice.

    free encrypt or hide folders or files

    Next. Again.

    This screen is a little unusual. You need to move the mouse around in a random fashion for a while. Go on, you know you want to. A little more. Great.

    volume format

    Just for a change of pace, click Format. Then take a break.

    volume format 2

    All being well, you’ll get a confirmation when the format is finished.

    Successfully created

    Go ahead and click OK. It’s not as though you have other options.

    And that’s it. Done.

    Volume created

    One new Truecrypt volume is quite enough for now, so click Exit, and we can move on to making use of it.

    Using The New Volume

    Run Truecrypt again.

    Select an available drive letter from the list, and then browse to the file you just created. Just to be clear, in this case I’m going to mount the new MUO container as the O: drive.

    mount volume

    Click Mount to complete the job. You will be prompted for that password you carefully made up earlier. Don’t forget it. There are no back doors here.

    enter passwordClick OK.

    And that’s it. I now have a 100MB O: drive, ready for use.

    freeware to encrypt folders

    Click Exit, and take a look in Windows Explorer.

    Keeping Things Going

    The drive will be dismounted automatically if you log off or shut your PC down, but it’s a good idea to close it yourself, from the same window, when you don’t need it any more. You might have trouble if your PC still thinks you have files from the volume open, so close any applications, files, or Windows Explorer views beforehand.

    We could spend a lot more time on this subject, but I’m sure you’d rather make use of your new encrypted drive. Let me know if there are any details I can go into more depth with, any questions, or any good ideas for use.

    Setting Windows Vista Sharing Permissions on Shared Folders

    You can share a folder with advanced permissions. You use these permissions to decide who has access to the folder and what those users can do with the folder. You can also apply advanced permissions to entire security groups rather than individual users. For example, if you apply permissions to the Administrators group, those permissions automatically apply to each member of that group.

    Before continuing, make sure you have a user account set up for each person who will access the share. Follow these steps to share a folder with advanced permissions:

    1. Select Start, and then click your username to open your user profile folder.

    2. Click the folder you want to share. If you want to share a subfolder or file, instead, open its folder and then click the subfolder or file.

    3. Click the Share button in the task pane. Windows Vista displays the object’s Properties sheet with the Sharing tab selected.

    4. Click Advanced Sharing. The User Account Control dialog box appears.

    5. Enter your UAC credentials to continue. The Advanced Sharing dialog box appears.

    6. Activate the Share This Folder check box.

    7. By default, Vista uses the folder name as the share name. If you prefer to use a different name, edit the Share Name text box.

    8. In a small network, it’s unlikely you’ll need to restrict the number of users who can access this resource, so you’re probably safe to leave the Limit the Number of Simultaneous Users To spin box value at 10.

    9. Click Permissions to display the Permissions for Share dialog box, where Share is the share name you specified in step 7.

    10. Select the Everyone group in the Group or User Names list, and then click Remove.

    How To Sync Files & Folders Between Computers With Windows Sync

    sync files and foldersOne of the greatest problems that comes with owning more than one computer is figuring out how to sync files and folders between computers. You can of course do manual transitions with a USB drive. This is a real pain however and simply forgetting once can be frustrating.

    Imagine heading down to your local coffee shop to edit some photos only to find, when you arrive, that you forgot them on your USB drive! Such a scenario has happened to me a few times, and it is more than a little annoying.

    There is however a solution – Windows Sync. This program makes it possible to sync files and folders between computers through an Internet connection. Microsoft Sync literally syncs all files in a folder, no matter what kind of files they are. And get this – Microsoft Sync works for both the PC and Mac.

    Installation & Settings

    To begin you’ll need to download the Microsoft Sync tool on the two (or more) computers you wish to sync up. Microsoft Sync is part of Microsoft’s Windows Live platform, so you will need to have a Live login in order to use the program. If you don’t have a login yet, you will have to register.

    Once you have downloaded and installed the Windows Sync program you will notice that a new icon has appeared in your task tray. The icon looks like two blue arrows pointing in opposite directions. This indicates that Sync is running. The interface which you will use with Sync in order to share files and folders is actually web based, but before we go to the Sync website we need to change a setting that will make it possible to sync files and folders. Go to More –> Settings.

    sync files and folders

    Your login information should already be inputted from the installation process, but if you don’t see it, or it looks wrong, go ahead and change it now. Also, click the checkbox next to “Allow remote access to my computer.” This setting must be turned on in order to properly sync files and folders.

    Let’s Sync It Up

    Now that the proper settings are enabled, we can go ahead and sync up our files and folders. This is performed using the web interface, so go ahead and launch the Windows Sync website. You can do this by clicking on the Windows Sync icon and then clicking Website on the drop-down menu.

    sync folders between computers

    When you open the web interface you’ll have two options. One is to create a Personal Folder and the other is to create a Shared Folder. The Shared Folder option lets you create folders that can be shared with other Windows Live users. It is a handy way to share information, but it is also outside the scope of this tutorial. We’re just going to be focusing on the Personal Folders, so go ahead and click Create a Personal Folder.

    The next screen will ask you which computer you’d like to create the folder on. This doesn’t really matter. You are going to be creating sync folders on both your computers during this process and all files in all of the folders on all computers will be transferred. I suggest simply selecting the computer you’re currently using.

    sync folders between computers

    The next screen will display an Explorer view of the computer you selected. You need to select the folder in which the contents you want to sync are contained or will be contained. For example, you might make a folder in My Documents and call it My Sync Folder.  When you have accessed the folder you want, click Sync Folder Here.

    Note that you need to be in the folder you want to sync. If you wanted to sync My Sync Folder you would have to click the Sync Folder Here option after you have opened My Sync Folder. If you click the option while you are in your My Documents folder your entire My Documents will be synced.

    Syncing With Other Computers

    You will now see a menu which is labeled “Sync with Another Computer.” The computer on which you already selected a folder to sync will be grayed out. From the list of other machines select the machine you want to sync with.

    sync folders between computers

    This will bring up another Explorer view, and again you will need to select a folder. Obviously, it would be best if both the folders on both computers have the same name. However, this doesn’t have to be the case. If you want to sync two folders with entirely different names, you can.

    The next screen will ask if you want to use Automatic Sync or On-Demand Sync. Automatic Sync will always sync files, while On-Demand Sync will only sync files when you request them. I suggest choosing Automatic Sync, as it eliminates an extra step. Then click Finish.

    sync files and folders

    Your folders will now begin to sync. You can see this activity by clicking on the Windows Sync icon and then clicking Activity from the drop-down menu. This will open a window which shows the files which are currently being transferred and their status. You will also now the sync folder you created in the drop-down menu. You can access the local version of the folder by clicking on it in the drop-down menu.

    Always Have Your Files On Hand

    Once you’ve set up your Automatic Sync folder between two computers you don’t have much else that you need to do. Files which are placed into the folder on either machine will be automatically transferred to the other machine. Of course, both computers do need to be online for this to happen, and both also need to be running Windows Sync. Those requirements aside, the process is completely hands-free once you set it up.

    In the past, we have extensively covered the topic of synchronization.   Check them out!
